Suleiman Abdulrasheed Sadiq, Yamusa Idris Adamu

Abstract

The design and automation of the Rector's Office, integrated with the Bursary and Internal Audit departments, is a transformative step toward enhancing administrative efficiency and transparency in Federal Polytechnic Bauchi. This study explores the development of a unified digital system that streamlines communication, facilitates real-time data sharing, and strengthens decision-making processes across these critical administrative units. The integration aims to address challenges such as delays in inter-departmental communication, inconsistencies in financial reporting, and inefficiencies in audit tracking and budget management. By leveraging automation technologies, the system will ensure secure data management, improve workflow coordination, and enable timely and accurate reporting. The proposed system includes features such as centralized data access, automated approval workflows, financial reconciliation tools, and audit compliance tracking. These functionalities aim to reduce redundancies, enhance accountability, and support strategic planning and policy implementation at the Rector's level. The anticipated benefits include improved operational efficiency, greater financial accountability, reduced risk of errors and fraud, and enhanced institutional governance and oversighting. This study demonstrates how integrating automation into administrative processes can drive innovation, foster collaboration, and align with modern best practices in institutional management
